Any slot tomorrow?9:41 pm

A patient writes on WhatsApp: “Any slot tomorrow?”

Who books her in?

It looks like a question. It is really a job of four steps: understand what she wants, find a free slot, book it, then log it and tell the clinic owner.

Tap a helper and watch how far it gets

Filled = doneDashed = still on youLast shape = what the patient got

What do you think made the difference?

What each one leaves you with

A helper that only replies

Yes, we have slots tomorrow.

Still on you: find the slot, book it, log it.

A helper with tools

Booked

Visit booked for tomorrow, 5 pm.

This is the line you receive.

The difference is not the name

“Chatbot” covers many things, and some of them do book. So the name is not the question. The question is: can it finish the job, or does it only reply?

The one that finishes the job has tools: it can open the calendar and write to the booking system. The one that only replies has words.

And if it gets it wrong?

You decide what it may open and where it may write, and it works inside those limits. Everything it does reaches you as one line, so you see it and can fix it.

The diagram, in words

The helper that only replies: it understands that the patient wants an appointment, and replies in words. Then it stops. Finding the slot, booking and logging are still on you. Result: the patient got a reply only.

The helper with tools: it understands the request, opens the calendar and finds a free slot, books it in the booking system, then logs the booking and sends you one line. Result: the slot is booked, and you know.

When someone offers you AI for your business, do not ask what it is called. Ask:

Does it reply, or does it finish?
